DocsReports and fixes
Client reports
A dated report each month for the apps of one client, approved by you and sent to one person.
On this page
In short
- A client report is a dated record of one calendar month for the apps of one client. It says what was checked on which days, what a later check confirmed as fixed, what is still open and what could not be told.
- You group the apps, name one person who confirms the address, prepare the month, approve it and send it. Nothing leaves Vallit before you press send.
- Client reports are off for a new company. An admin turns them on at Clients or under Settings, Company. Turning them off again deletes nothing.
Where in the app
The clients live at Clients in the sidebar, below Inbox, at app.vallit.net/app/clients. The sidebar lists it once client reports are on, or as soon as your company has two apps. An admin of the company adds clients; every member can read them and prepare reports.
Step by step
Turn on client reports
While client reports are off, Clients says what they are and shows Client reports are off. An admin clicks Turn on client reports, and the page shows the clients and the form to add one. A member sees which admin to ask instead of the button. An admin can also use the switch Monthly reports for your clients under Settings, Company, General.
Add a client
On Clients, enter the name of the client under Add a client. Leave Time zone: its months start and end by this clock as it is unless the client lives elsewhere: a month starts and ends at midnight in that zone. Click Add client. The client's page opens.
Choose its apps
Tick the apps this client owns under Apps in this client and click Save apps. An app can be in one client only, and nothing is added because a domain looks alike.
Ask the person who gets the reports
Under Who gets the reports, enter one email address and click Ask this person. Vallit sends that person a mail that names you and the client. The state reads Waiting for recipient until they click Yes, send me the reports, then Recipient confirmed.
Prepare a month
Choose a month that is over and click Prepare the report. A draft opens. It is built from the checks of that month and is not shared. Every month, Vallit also prepares the draft of the month that just ended for each client, so one is waiting. It never approves or sends a draft.
Read it and add your lines
The left side is the report as the client will read it. On the right, Lines from you takes up to eight short lines, Done this month and Next steps. They appear under your name and are marked as not checked by Vallit. A line that promises an outcome, such as “secure”, is refused. Click Save. A new box appears after each save.
Approve it
Click Approve this report, next to Save, and confirm with Yes, approve. An admin does this. The lines in the boxes are saved with the report, which is frozen and whose link works. Nothing is sent yet.
Send it
Under Send, click Send to the client and confirm with Yes, send it. The mail names you, the client and the month and carries the link. It holds no finding. The history under the button says Sent once the mail provider accepted it. Under What happened, the same moment reads Handed to the mail provider.
Correct a mistake
Click Start a correction under Something is wrong. A new version opens with your lines. Write what was wrong, approve it and send it. The old link then shows only that it was replaced, with your note.
Switch a link off
Click Switch the link off and confirm with Yes, switch it off. The address answers like one that does not exist. Make a new link gives the report a new address.
What happens behind the scenes
What a report holds. For each app: the days of the month with a finished check, drawn as a strip, and the checks that did not run at the end. Then the findings in five groups.
- Fixed, and a later check agrees: a check ran again after the change and no longer found it. Only this counts as fixed.
- Marked as done, not checked yet: Vallit marked the finding as done, and no check has confirmed it. The next check settles it, and it then appears as fixed in the month that check ran.
- Still open at the end of the month: the finding, how long it was seen, and whether it had come back.
- Not known: the finding was seen earlier and the check that would show whether it is still there did not finish.
- Decided by Vallit: findings Vallit accepted for now or judged a false alarm.
The month-end open count excludes findings with unknown status or fixes that have not been checked again. The line also counts those exclusions. A report lists the month's recorded interruptions and your own lines. It has no score and no total across apps.
What it never holds. Vallit's private notes on a finding, the time Care spent, the steps to fix a finding, the places in your code and any evidence.
Gaps stay gaps. A day with no finished check shows as a gap. A check that was added during the month is not compared with the month before. A check that is gone cannot make a finding fixed.
One limit. A check that changes how it looks for something, under the same name, can make a finding disappear. The report then says a later check no longer found it. It does not say that the change fixed it.
The month is frozen. Approving stores the report. Later checks, a removed app or new findings do not change it. A report states the month, not today, and says so on its first page.
Who gets it. The person you name gets a mail from Vallit first and nothing else until they click Yes, send me the reports. Every report mail has a link to stop them, and it keeps working when you ask the person again. If the person stops, nothing more is sent, and that answer stays on record: removing the address does not ask them again, and a different address starts from the beginning. You can ask the same person once an hour at most.
Four things Vallit tells apart. A draft is prepared. An approved report is provided at its link. A sent mail is handed to the mail provider, which does not show it reached the inbox. A report is opened when a person opens the link. If the mail provider does not answer, the send reads as unsure and a retry within a day sends one mail at most.
Links. Anyone who has a report's link can read it. A report that was read, printed or forwarded cannot be called back; only its link can be switched off. Print or save as PDF on the report page prints the same page.
Turning them off. Turning client reports off deletes nothing. Your clients, reports and links stay as they are, links you sent keep working until you switch them off, and Vallit prepares no drafts until they are on again. A client or report page then leads back to Clients, which offers to turn them on.
How long it stays. A report stays until you delete the company. Removing an app from a client leaves approved reports as they were and leaves the app out of the next ones.
